Position: Office Executive

Location: Gandhinagar, Gujarat

Key Responsibilities:

• Manage day-to-day office administration and ensure smooth office operations.
• Handle incoming calls, emails, enquiries, and correspondence professionally.
• Maintain office records, documents, files, invoices, quotations, and other administrative paperwork.
• Prepare and maintain reports, spreadsheets, presentations, and official documents.
• Coordinate with clients, vendors, suppliers, service providers, and internal team members.
• Assist in preparing quotations, purchase orders, invoices, delivery documents, and other business-related documentation.
• Maintain customer and vendor databases and update records regularly.
• Coordinate meetings, appointments, follow-ups, and office schedules.
• Assist management in routine administrative and coordination activities.
• Monitor office stationery, equipment, and other administrative requirements.
• Coordinate courier, dispatch, logistics, and documentation activities.
• Follow up with clients and vendors for pending documents, payments, quotations, deliveries, and other requirements.
• Maintain confidentiality of company and client information.
• Perform other administrative and coordination tasks assigned by management.

Required Skills & Qualifications:

• Graduate degree in B.Com, BBA, BA, or any relevant discipline.
• Good communication and interpersonal skills.
• Proficiency in MS Office / Google Workspace, especially Word and Excel.
• Good email drafting and documentation skills.
• Strong organizational and time-management abilities.
• Ability to handle multiple tasks and priorities efficiently.
• Professional attitude with good attention to detail.
• Ability to communicate effectively with clients, vendors, and team members.
• Basic knowledge of billing, quotations, invoices, and office documentation will be an advantage.

Preferred Skills:

• Experience in office administration, coordination, sales support, or back-office operations.
• Knowledge of Tally / accounting software is an advantage.
• Basic understanding of electronics, technology, or engineering businesses will be preferred.
• Ability to independently manage routine office activities.
• Good follow-up and problem-solving skills.
